When does my group need to inform the coalition that we will participate in the fundraiser?

Let the coalition know that your group will be participating in the fundraiser by April 30, 2007.

How much of the money collected does my animal group make as a fundraiser?

The money collected for your group in the name of your county, your group, your triathlete will be split three ways (70/20/10) - where 70% will go into an account earmarked for the spay/neuter vehicle, 20% will go back to your group as your fundraiser, 10% will go into the coalition's general fund.

70% - Spay/Neuter West Tennessee Program

20% - Participating Rescue/Humane Organization

10% - West Tennessee Animal Coalition General Fund

 

Does our group have to know an athlete who would like to participate in the triathlon?

It is best if your group has an athlete who would like to represent your group and your county in the race.  This will generate more excitement for your community and within your group.  Businesses will be more apt to get involved if they know the athlete who will be running/biking/swimming in their community’s name.

However, if you are not able to find someone you know to participate, the coalition will assign an athlete to your group.

Be sure to let the coalition know by April 30, 2007 if you need an athlete assigned to your group.

 

What does my group need to do to participate in this fundraiser?

The main thing for the individual groups to do is to ask people/businesses to sponsor your triathlete (or runner/biker/swimmer team) for your county.  

You'll send two letters to the people/businesses on your database.  We will supply the letters once you let us know who your triathlete is (one personalized from your triathlete and one from your group).  The letters explain the desperate situation of companion pet overpopulation and the need for West Tennessee to have program to spay/neuter the animals to end the killing of pets due to no homes.  The letters are essentially asking for that person or business to donate to the coalition for the coalition to purchase a spay/neuter transport vehicle to cover the 26 counties in the coalition's West Tennessee region.

Bring an animal to the Triathlon on May 20, 2007.

 

How many letters do we send out?  And to whom?

1)    you can let us know how many letters you need (remember, two different letters in the same envelope) and we will get the letters to you and your group can mail out as many as you like to your database and/or mailing list and your group pays the postage.

OR

2)   you can give the coalition your database (up to 75 names/addresses– since there’s an amount limit, we suggest businesses and individuals you are confident will donate) and the coalition will mail the letters out and pay the postage.

    

What is a ‘sponsor’?

A ‘sponsor’ is essentially a donation to the coalition for a spay/neuter transport vehicle – asked for by the individual rescue group. 

 

Does the athlete pay their own entry fees?

Yes, the athletes pay their own entry fees.

 

Where do we send the sponsor contributions?

You can have your sponsors mail their contributions directly to the coalition.  We will send a receipt to them for their taxes.  Be sure to ask them to put Triathlon Fundraiser – Your Animal Group’s Name in the Memo so we know to give your group the credit for the contribution.  This is where your group’s 20% is coming from!

If your group receive checks written to your group’s name or cash, just send the coalition the amount and let us know who the donor is.  We will credit your group for the contribution and send the contributor a receipt for their taxes.

Who can we send to the race to represent our group and show support for our athlete?

One or more people can represent your group at the race.  They are to bring an adoptable animal (up-to-date on vaccinations and spayed/neutered).  The people can be any member of your group who would like to show support for your group and your athlete.  If there’s more than one person, they can bring your group’s banner to hold or a poster board decorated with your group’s name and logo (if possible).

 

When should our group’s representatives be at the race?

A WTAC representative will be at the race site by 6:00am.  People should be there by 8:00am and it will likely be over before 3:00pm. The race starts at 7:00am and the first folks start finishing around 2 hours later.  We need to have folks there to support their runners! 

 

Information about the Memphis in May Triathlon:

Welcome to the 25th Annual 2007 Memphis In May Triathlon.

We expect up to 1600 pro and amateur athletes from around the nation and the world to compete in the 1.5K swim, 40K bike and the 10K run event at Edmund Orgill Park in Millington, TN. The race is in a park setting within a mostly rural area of Millington. The bike course is flat and the run is moderately hilly. Average water temperature is between 65-75 degrees and the average high temperature is 82 with a low of 65 degrees.

Join us Friday, May 18 from 3:00pm until 7:00pm and Saturday, May 20 from 9:00am until 6:00pm for the 2006 Memphis in May Triathlon Race Expo. See and speak to national distributors and manufacturers of apparel, equipment, nutritional merchandise and more. The race starts at 7:30am Sunday, May 20.
